Our client is a commercial real estate firm specializing in acquisitions, leasing, property management and development. Our team is dedicated to delivering exceptional real estate solutions and fostering long-term client relationships. We are seeking a highly organized and proactive Office Manager to oversee daily office operations and support our growing team.
The Office Manager will play a crucial role in ensuring the smooth operation of our office, managing administrative tasks, and providing essential support to the executive team and staff. This role requires strong multitasking abilities, excellent communication skills, and a proactive approach to problem-solving in a fast-paced real estate environment.
Key Responsibilities:
Office Administration & Operations
Oversee daily office operations, including maintaining a professional and organized work environment.
Serve as the point of contact for facility management, including lease agreements, maintenance requests, and security.
Administrative and Executive Support
Provide administrative support to executives, including scheduling meetings, managing calendars, and preparing reports.
Assist in preparing and maintaining contracts, leases, and other real estate-related documents.
Handle confidential company information with discretion and professionalism.
Manage incoming calls, emails, and correspondence.
Financial & Operational Support
Assist with expense tracking, and invoice processing.
Coordinate with accounting teams on financial transactions and office-related expenses.
Work with property managers and brokers to ensure timely document processing and compliance.
Qualifications & Skills:
Experience: 3+ years in office management, administrative support, or operations, preferably in commercial real estate or a related industry.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with CRM or real estate software (e.g., Yardi, CoStar, Salesforce) is a plus.
Soft Skills: Strong organizational and problem-solving skills, attention to detail, and ability to multitask in a fast-paced environment.
Initiative: Ability to work independently, anticipate needs, and proactively address challenges.
